Frequently Asked Questions

When do I need Association approval?

Any exterior change to a commercial property—new construction, building additions, façade updates, signage, outdoor seating, landscaping, requires Association review and written approval before work begins.

What’s the difference between a full commercial review and a single item submittal?

Full Commercial Review (Phase I & II): For new buildings or major modifications. Includes site plans, drainage, lighting, landscaping, and more.  Single Item Submittal: For one-off changes such as new tenant signage, repainting, or a temporary banner.  This shorter process only requires the specific drawings, specs, and a $350 fee (plus deposits when noted).

What are the key steps and timelines for a full review?

1. Phase I Submittal – Provide site survey, elevations, material samples, overall signage intent or criteria(shopping centers) and fees.

2. Phase II Submittal – Provide final architectural plans, engineering certifications, lighting/landscape plans, recorded plat, and address Phase I conditions.

3. Pre-Construction Meeting – Required before breaking ground.

4. Mid-Project Inspection – On-site check and material mock-up.

5. Certificate of Compliance Inspection – Final inspection before opening.

Tip: Complete submittals are generally reviewed on the second and fourth Wednesday of each month. Materials must arrive by the Thursday before the meeting.

What fees should I expect?

• Optional Conceptual Plan review – $600

• Phase I & II full review – $.04 per sq. ft. of gross site area (minimum $3,000; typically max $6,000)

• Single Item / Signage review – $350

• Mandatory Pre-Construction meeting – $500

• Refundable deposits may apply (e.g., $1,000 for building or monument signage).

What documents are required for a single item submittal?

• Completed Commercial Single Item Submittal Request Form

• Landlord/Property Owner approval (signature)

• Survey site plan showing placement

• Specs such as scaled drawings, photos, or brochures

• Material samples (paint chips, window film, etc.)

• DBA (if signage shows a business name).

How long does review take?

For a complete single-item submittal, typical review time is 5–7 business days. Full commercial reviews follow the twice-monthly committee schedule, so timing depends on the next meeting date and complexity.

Are there special rules for signage and banners?

• Sign face must be white translucent with white neon and bronze trim caps/returns unless the center has an approved alternative.

• “Coming Soon” or “Now Open” banners are limited to two weeks and must have a white background with

black or dark blue letters.

• Balloons, inflatables, stake signs, and similar advertising are not permitted.

What happens after construction is complete?

Request a Certificate of Compliance Inspection. the Association will issue a punch list (if needed) with a three week deadline for corrections. When all items are resolved, submit a written request for the return of any construction deposit.
